Job purpose: Providing office administrative services by effectively implementing and monitoring the administration procedures & policies to ensure efficient daily office service operation.
1. ADMINISTRATIONS
1.1 Receptionist
- Promptly accurately, professionally and courteously receives 100% of all telephone calls and visitors;
- Warmly greet visitors entering company;
- Deal with queries from the public and customers;
- Take responsible for in-out mails, receipt of courier parcels;
- General administrative and clerical support;
- Draft correspondences on administrative issues, consultant etc.
1.2 Office management
- Handle office facilities maintenance – room booking, meeting room, other facilities in good conditions at all times; manage and control the taxi cards;
- Office is always well arranged, tidy, clean and safe;
- Coordinate the procurement of miscellaneous things including stationary and office supplies;
- Maintain overall responsibility for the office filing system. Ensure all documents are properly filed and kept in proper areas.
2. HR
- Assist HR to manage the personnel records for all staff;
- Assist HR to manage the leave report;
- Provide the translation if any;
- Assist HR in screening applications, the phone interviews, arranging interviews, interview follow-up, other support in the recruitment if any;
- Provide ideas for the employee activities, executing the activities successfully as planned;
3. OTHERS
- Other duties as requested by direct manager.
- Previous experience working on admin/office is a plus.
